About the Position

We are currently seeking a dynamic, temporary Facilities Specialist to join our team in Latham, NY! The Facilities Specialist is responsible for performing operational support duties of the Facilities Management Department by assisting the Facilities Managers as directed and ensuring that the facilities, properties, and office service functions operate effectively and efficiently.

Position Responsibilities:

  • Respond to Facilities work-order tickets in a timely and professional manner
  • Maintain relationships and communication with Beacon Health Options vendors, including:
    • Landlord British American
    • Prestige Vending
    • Van Hook (HVAC)
    • Boxley’s Services
    • Adirondack Pest Control
    • Iron Mountain
    • Crisafulli Bros.
  • General housekeeping and maintenance for Beacon Health Options facilities, including:
    • Maintain and repair plumbing, electrical, ceiling tiles, furniture, and HVAC
    • Ensure that all kitchen/break areas are supplied with paper towels, soap, etc.
    • Ensure that refrigerators are cleaned monthly
    • Ensure that all departments are supplied with office and cleaning materials, including:
    • Ensure that restrooms are supplied with paper products, soap, air freshener, etc.
    • Ensure that monthly pest-control inspections occur as scheduled and handle any pest control complaints
    • Maintain and empty confidential shred bins once a week, or as needed
  • Ensure that the facility is safe, free from hazards, and up to code, including the following:
    • Daily building/property walk-throughs
    • Fire extinguishers, smoke detectors, and fire suppression system
    • Handicapped access
  • Maintain and upload department files on the Facilities Sharepoint site, including:
    • Add new hires to system, including vehicle information and assigning access levels
    • Upload invoices, Facilities plans, contracts, and other department forms
    • Department policies and procedures
  • Be on call to stand in and act as Facilities Manager, in his or her absence as required           
  • Assist the Facilities Manager with any special projects

Position Requirements:

  • Education: High School diploma or GED equivalent required
  • Knowledge, Skills, Abilities: 
    • Excellent organizational skill and attention to detail
    • Excellent communication skill, both verbal and written
    • Ability to multi-task, prioritize work, and work in an ever-changing environment
    • Knowledge of plumbing, electrical, HVAC, and other construction trades
    • Ability to lift and carry up to 50 lbs., stoop, bend, kneel, climb, crawl, push, pull, or perform other physical activities
    • Ability to work flexible hours, as needed to support repairs or services
    • Basic computer skill, including Microsoft Office products and Outlook
    • Basic experience and understanding of hand tools
